I find that people who learn and practice some of the Productivity Through Technology tips we have researched and written about usually wind up saving anywhere from 30-90 minutes each week. As I said in the presentation, saving time is the easy part...The challenge:
Using that time to our advantage!
I speak from experience when I acknowledge the temptation to be more "effective and efficient" at work, and then filling up that saved time with, well...more work. So, be careful. In fact, it might be worth it to watch this short video:
Ok, now for some of the key concepts from that presentation:
1) The SYSTEMS/TOOLS only support our ability to
2) FOCUS to finish and acknowledge the productive process, so that we have
3) ENERGY to engage in all of our goals and objectives in the
4) TIME we have.
And, those are the 4 limited resources I discussed when I described the Pyramid of Limited Resources. So, for example, in discussing "Speedkeys"
Now, as I shared in the presentation, speedkeys are not about speed; they are indicative of a mindset, a mantra I use called, "Focus to Finish." If I'm looking at my calendar, and realize I need to email you a note about our upcoming meeting, I have an option. I could either press Control+Shift+M and bring up a new mail message, or
I could move my hands from the keyboard, find the mouse, move the cursor around until I see it, then track my eyes over to the Mail icon, click Inbox, and then move the mouse to the top of the window, and click on New. By that time, however, I might have looked at some of the new e-mail in my inbox and even been tempted to open one or two, file some and delete some others. In fact, in my OWN experience, I've gone over to the inbox to mail someone and gotten SO distracted that I completely forgot.
Oh, another quick tool: Reqall. This was the voice-to-text transcription service I spoke so positively about. It's such an integrated part of my own SYSTEM>FOCUS>ENERGY>TIME toolbox, I wrote a whole webpage for it.Click here.
For the group I met with in Miami, I have an intuitive feeling that the Notes functionality of Microsoft® Outlook® could be much more useful for you than you're currently using. To me, the Notes have always been a kind of reference bucket, my own encyclopedia if you will. See this short video
